Introduction
The Physical Planning and Facilities Management department requires a dynamic Space Planner who will provide leadership to the University on space management and co-ordination, and perform a consultative and advisory role to users on the utilization and management of space.
Job description

The incumbent must ensure optimal space utilization across the University by:

  • Setting out roles and responsibilities for space management.
  • Informing future workspace design.
  • Overseeing optimal space utilization for the University. 
  • Planning for future new space on campus. 
  •  Performing periodic space audits to ensure accurate and timely data is being used to support decision making.
  • Providing timely reports and recommendations to the Campus and Senior Management Groups regarding the University’s use of its space. 
  • Providing a space management system to support space utilization activities. 
  • Authorizing additional space or significant change of use to existing space. 
  •  Optimizing University wide space utilization.
  • Formulating strategy relating to the location of activities, including but not limited to schools, units and institutes.   
  • Overseeing Campus Master Planning.
  • Overseeing the allocation and rationalization of campus space. 
  • Ensuring changes to current space allocations are contingent upon allocation of an appropriate budget. The budget may be derived from allocated expenditure of CAPEX or funded by means of a Budget holder and a cost center. 
  • Applying Space Planning Guidelines to all new workspace projects, including new buildings, major refurbishments of existing facilities and minor capital works projects affecting workspaces. Guidelines to be considered within the context of Safe Workplace Design. Guidelines to be structured into three space categories:
  •  Office
  • Teaching and Learning 
  • Research Office Space.  

  • The University recognizes the importance of providing appropriate workspaces that meet user needs in a sustainable and economical manner. The best workspace solutions must be adaptable to change in work practices and technology. It must be cost and space effective, and most importantly it must be supportive of what people do rather than who they are. 

  • To facilitate the planning, allocation, use and management of its building space as a valuable and finite resource by using transparent processes and procedures consistent with best practices in higher education facilities management.

Minimum requirements

  • B. Degree in built environment/architecture/planning
  • 5-8 years post-qualification experience, of which 3 years should be in space planning and management

Knowledge of:
  • Knowledge in evaluations, landlord and tenancy issues
  • Ability to read drawings
  • Knowledge and experience working with Autocad.
